Policies & Procedures at Brock House
Policy Enforcement: At all times, Peake retains the authority to oversee and inspect events to ensure policies for the Brock House, and City and Provincial laws, are respected. It is at the discretion of Peake to end service at any time should violations be present. Fines ranging from $500 to $2000 may be levied pending the scope of policy violations. Please also refer to the Archeological Sensitive Area Disclaimer below for additional penalties and fines. All outstanding event balances remain due and payable from the contracted client.
Supplier/Decorator Access at Brock House: The following timelines must be adhered to by client vendors (such as décor or rental companies) on the day of the event, according to the contracted event start and end times:
Afternoon events (Saturday & Sunday) 10:00am–3:00pm
8:30am outdoor arrival/access for decorators and vendors setup
3:00pm access | 3:30pm teardown complete
Evening events (Monday to Friday) 6:00pm–12:30am
4:30pm arrival/access for decorators and vendors setup
12:30am access | 1:30am teardown complete
Evening events (Saturday & Sunday) 6:00pm–12:30am
4:00pm arrival/access for decorators and vendors setup
12:30am access | 1:30am teardown complete
Whole Day events (Saturday & Sunday) 2:00pm–12:30am

Please note, guests may arrive NO EARLIER than the event start time and the earliest ceremony start time is 30 minutes after the event start time.
Should any vendor/decorator or guest arrive on-site prior to or depart after the contracted times outlined above, a fee of $375.00 per half hour or portion thereof will be charged to the client and reflected in the final invoice.
Ceremony: The picturesque grounds of Brock House can be reserved for hosting a ceremony in combination with food and beverage services provided by Peake. A ceremony fee applies when selecting the property for both your ceremony and reception. White resin garden chairs, a registry table for document signing, as well as a dedicated bridal room are included in the ceremony fee. The fee remains in place should the client determine they require no tables or chairs or would like to bring in outside rentals. If your ceremony is planned for an outdoor setting, the final decision regarding the ceremony location will be made by Peake, taking weather conditions into consideration.
Temporary Structure: Our celebratory 30 x 60 marquis tent has the option to use clear tent sidewalls. Severe weather such as rain, wind or lightening may become unsafe and or have a negative effect on guest experience. Relocation of an event indoors may be required. The tent panel usage and a move indoors are at the sole discretion of Peake. Should you choose to change out the light fixtures provided in our celebration tent, there is a $500 fee for removing the existing lights and we require a licensed electrician to install your selected lighting.
Decorating and outside rentals: All décor and rentals must be removed immediately following the event and no later than 30 minutes past the contracted end time. Nothing may be stored overnight.
NO material is to be used to affix any object, nor are any objects allowed to be attached to any manmade or natural surfaces at Brock House. Tabletop décor and self-standing items are acceptable décor.
NOTHING is permitted to be tossed at the guests of honour (wedding couple) or at any other events including, but not limited to real or fake flowers, rice, or confetti.
NO fire or sparks are permitted at any time or anywhere on the Brock House premises including candles. Only battery-operated candles are permitted.
NO balloons as they have been identified among the top three most harmful pollutants threatening marine wildlife, along with plastic bags and bottles.
ONLY self-standing ceremony archways are permitted
Pending the size of your event, should you choose to bring in rental chairs, there is a fee up to $500 to remove the Brock House chairs and store them.
A list of individuals or companies supplying, delivering and setting up décor and/or any additional rentals must be provided by the client to the Peake Events Manager 1-week (or 5 business days) prior to the contracted day of the event. This list must include exact arrival times, the items being delivered/set up, and the contact names and telephone numbers of the individual(s)/company(ies) responsible. Also required are the arrival timing and any new contact information for the tear down/removal of such items from Brock House property.
All garbage not directly related to the services provided by Peake, must be removed from Brock House premises.
Music/Entertainment: Entertainment (www.musosent.com) is Brock House's exclusive in-house DJ provider. Once booked, please contact the company directly regarding your entertainment needs (admin@musosent.com).
All entertainment/music for dancing is subject to a one-time S.O.C.A.N. (Society of Composers, Authors and Music Publishers of Canada) charge of $69.50 and a Sound licensing charge of $29.15. Amplified live bands will not be permitted on the property at any time. No exceptions will be made. Classical ensembles are permitted, with a maximum of three musicians. All music must be kept at a reasonable volume throughout your event and must adhere to the Vancouver noise by-laws for a residential neighborhood. No music is permitted outside after 10:00pm in respect of our neighbors.
Photography: The client gives Peake permission to use any photographs and videos on their company social media accounts, website, or for marketing purposes. Credit will be provided to photographers if professional photos from the wedding day are used.
Brock House Property Damage: The contracted client will be held responsible for any damage to the Brock House property during set up, event, and tear down. This includes damage caused by vendors, guests or other parties related to the client’s event. Damage to Brock House will be assessed during final inspection. If damage is noted, the amount will be removed from the security/damage deposit and shown on the final bill or if deemed over $2000, the charges will be processed on the final bill. Should no damages occur, the client will receive a refund on the original security/damage deposit amount of $2000.
Archaeological Sensitive Area Disclaimer: The entire land area encompassing, under and surrounding Brock House is designated as an archaeological sensitive area, protected under the BC Provincial Heritage Conservation Act. Any form of land disturbance within this area may result in penalties ranging from $50,000 to $1,000,000 and/or imprisonment for up to two years. Land disturbance includes activities such as digging, staking, puncturing holes, or causing damage to the earth, grasses, stone tiles, or pavement in any manner. By signing an event Service Agreement, the contracted client acknowledges their responsibility for the well-being and conduct of their guests and hired vendors during the event. They also acknowledge their understanding of the aforementioned information. Furthermore, the contracted parties hereby indemnify Brock House Society, The Peake of Catering Ltd. as well as its officers and directors, from any claims, fines, penalties, and legal costs imposed or levied against them due to any violations of the BC Provincial Heritage Conservation Act.
Respectful Guest Conduct: Peake maintains a zero-tolerance policy towards any abusive conduct directed at its employees by the client, guests, or event vendors. Such behavior will result in Peake respectfully declining to manage the event which may include the halting of an event already underway. Peake is not liable for any other expenses incurred by the client, nor will it provide reimbursement for any damages resulting from the cancellation of the event.
Abusive conduct encompasses a range of behaviors, both physical and non-physical, as well as verbal and non-verbal, that may be perceived as demeaning, exploitative, derogatory, or humiliating in nature. This includes but is not limited to actions and language that are intended to harm, intimidate, or cause distress to Peake employees.
Grounds Security: All events at Brock House, regardless of size, complexity, or celebrity, will require a reputable, licensed guard or security agency to be present for the duration of an event. The cost of such services is not included in your food and beverage fees. Peake has sole discretion on the security firm chosen and the number of personal will shift according to your event details including, but not limited to, size, scope and duration of event.
Absolutely NO drones may be brought on the premises or operated/flown in the air space above Brock House buildings or property for the purpose of filming/videotaping an event, NOR for any other purpose.
Limitation of Liability: Peake shall not assume any liability or responsibility whatsoever, for any loss, injury, or damages of any form or nature sustained by the person(s) contracted under a Service Agreement for an event at Brock House or the attendees of the function, or any other person, firm, or corporation, including, but not limited to, any loss or damage resulting from Peake’s inability to perform services as outlined. Peake shall not be held liable for any loss or damage to anything whatsoever brought on to the Brock House premises, the attending guests or event suppliers. Additionally, Peake will not be responsible for any other expenses incurred by the client.
